About The Role
MAYBE LDA is a company that encompasses multiple business interests, with a focus on PR consultancy services, while also having business interests for which this role will be required to support.
MAYBE LDA is seeking an experienced and adaptable Executive Assistant to provide professional and personal support for the organization.
This role involves managing schedules, coordinating communication, and handling various tasks to ensure smooth daily operations for a range of needs. Flexibility and the ability to adapt to shifting priorities are essential.
The position will be initially recruited on flexible hours. The number of hours required per week may vary depending on growing needs and may evolve to a full-time position for the right candidate. To start, this role is ideal for someone who can be available as needed, with the potential for hours to increase based on workload and project demands.
Responsibilities:
- Provide high-level administrative support.
- Manage and maintain complex calendars, including scheduling meetings, appointments, and travel arrangements.
- Act as a liaison between the executives and internal or external stakeholders, ensuring clear communication –in both English and Portuguese.
- Organize and prepare documents, conduct administrative tasks, and prepare reports, presentations, and correspondence as needed.
- Monitor and manage emails, responding on behalf of the executives when appropriate.
- Handle confidential information with utmost discretion and professionalism.
- Assist in business expense reporting, including submission and reconciliation.
- Conduct research projects, including online and offline research, and provide summaries or insights for decision-making.
- Support various special projects and ad hoc requests.
Qualifications & Experience:
- Proven experience as an Executive Assistant or in a similar role.
- Excellent organizational and time management skills, with a keen attention to detail.
- Strong written and verbal communication skills.
- Proficiency in office software, such as Microsoft Office Suite and Google Workspace.
- English and Portuguese language proficiency essential.
- Ability to adapt to changing priorities and work independently.
This a mostly remote position (hybrid, work from home) in Portugal. On occasion, you will need to come in-person to our offices in Lisbon or near Sines. We are flexible in this regard, making this role ideal for a person who wants to work from home.
